Configure CloudMailVault in Outlook and Other Email Apps

You can use CloudMailVault with compatible desktop and mobile email applications. Depending on the application and account configuration, you can connect through IMAP, POP3, or other supported protocols.

Information You Need Before Setup

Before configuring your email application, obtain the following details from your CloudMailVault account setup instructions or support team:

  • Full email address
  • Mailbox password
  • Incoming mail server hostname
  • Outgoing SMTP server hostname
  • Supported incoming and outgoing ports
  • Required encryption method
  • Authentication requirements

Important: Do not assume that the webmail hostname is also the correct incoming or outgoing mail server. Use the exact settings supplied for your account.

IMAP Configuration

IMAP is generally recommended when you want to access the same mailbox from multiple devices.

Messages and folders can synchronize between supported applications and webmail.

Enter the incoming server hostname, port, encryption method, and authentication details supplied by CloudMailVault.

POP3 Configuration

POP3 downloads email to a compatible application. Depending on the application's settings, messages may be stored locally and may not synchronize across all devices.

Choose POP3 only if it suits your email workflow.

SMTP Configuration

SMTP is used to send outgoing email.

Use the outgoing server hostname, port, encryption method, and authentication requirements provided by CloudMailVault.

If SMTP authentication is required, enter your mailbox credentials.

General Setup Steps

  1. Open your email application.
  2. Select the option to add an email account.
  3. Enter your name, full email address, and password.
  4. Select manual or advanced configuration if automatic setup fails.
  5. Enter the server settings supplied for your account.
  6. Save the configuration and test sending and receiving messages.

Common Configuration Problems

  • Authentication failed: Check your email address and password.
  • Cannot connect to server: Verify the hostname, port, and network connectivity.

  • Certificate warning: Confirm that the hostname matches the server details supplied by support. Do not ignore unexpected certificate warnings.
  • Email missing on another device: Check whether you configured POP3 instead of IMAP.
