How to Migrate Your Existing Email to CloudMailVault
Moving your email service to CloudMailVault can help you consolidate your business communications and cloud productivity tools.
Careful preparation is important to minimize disruption and prevent missing messages.
Step 1: Review Your Current Email Service
Before starting, identify:
- Your current email provider
- The number of mailboxes to migrate
- The total size of each mailbox
- Whether your existing provider supports IMAP
- Any calendars, contacts, or other information you need to transfer
Confirm that your selected CloudMailVault plan has sufficient storage.
Step 2: Back Up Important Data
Create a backup of your important email messages, contacts, calendars, and other data before making changes.
Keep the backup until you have confirmed that the migration is complete.
Step 3: Prepare Your Mailboxes
Create the required mailboxes in CloudMailVault and confirm that you can log in to them.
If you are migrating multiple users, prepare a list of existing and destination email addresses.
Step 4: Arrange the Email Transfer
Depending on your existing provider, email can potentially be transferred using IMAP or another supported migration method.
The method depends on the source provider, mailbox access, and the amount of data involved.

Step 5: Update Your DNS Records
When you are ready to switch email delivery, update your domain's email-related DNS records using the exact values supplied by CloudMailVault.
These may include:
- MX records for incoming mail
- SPF records for sender authorization
- DKIM records for email signing
- DMARC records for email authentication policy
Do not copy generic DNS values from an unrelated provider. Use the configuration supplied for your account.
Incorrect DNS records can interrupt incoming or outgoing email.
Step 6: Test Email Delivery
After the DNS changes have taken effect:
- Send a test message from an external email address to your new mailbox.
- Reply to the message.
- Test sending to another external address.
- Verify that important mailboxes are accessible.
- Check SPF, DKIM, and DMARC configuration where applicable.
- Confirm that any required calendar or contact synchronization is working.
DNS changes may take time to propagate.
Step 7: Keep Your Old Service Active Temporarily
Do not immediately cancel your old email service.
Keeping it available during the transition can help you identify messages delivered to the old service while DNS changes propagate and resolve any remaining migration issues.
Cancel the old service only after you have verified that the migration is complete and that you no longer need the old account.
